Cancellation / Booking Policy

See booking terms & disclaimer for detailed information in regard to terms and conditions of ActifStar. Each supplier has its own policy and terms for its activity. But below ActifStar has stated our basic cancellation and booking policy that apply for everyone booking with us. There are diverse rules of cancellations depending on the activity you have chosen. See Points 1 & 2.
The cancellation conditions apply uniformly to individuals, regardless of whether the cancellation is for one person or multiple people.
Please keep in mind that the “booking fee of 30€” will not be returned at any point after the booking has been done.
1. Trip packs, Teambuilding, Schools.
- Cancelation before 10 days prior to activity, all the amount except the “planning fee” of 30Euro will be refunded.
- From 10 days and up to 72hours hours before the activity, 50% will be refunded. If the actual booking is done within those 10-3 days – NO refund will be made.
- If you cancel after 72hours, show up late or do a NO SHOW, you will not be refunded.
2. Colourful & multiexperince, Day activities, Services.
- Cancelation before 4 days prior to activity, all the amount except the “planning fee” of 30€ will be refunded. If the actual booking is done within those 4 days – NO refund will be made.
- From 4 days and up to 48hours hours before the activity, 50% will be refunded.
Late bookings:
In the event of a late booking, if there is availability, reservations can be made with shorter notice. We reserve the right to determine the eligibility of late bookings based on the current availability. Late booking fees may be applied. No refund for late bookings. For availability inquiries, please submit your preferences and desired activities using ActifStar’s wish list and forms. As a normal booking ,forward the completed forms to us for verification of availability.
Recommendations:
- Day activities/multi activities/services: Late booking can be done within 1-2 days before the desirable activity date, IF there are slots available. Just keep in mind that booking within short notice of 1-5 days, no refund will be made.
- Trip pack and Teambuilding: ActifStar recommends to do the booking minimum at least 3-2 weeks of the activity.
Cancellation mayor forces, change of date:
- Cancealtion of mayor forces: Such as COVID or similar, flight cancellation, weather. As a general rule:
A) A deposit will be retained until the situation is resolved, postponing the activity to a new date during the following year.
B) In the event that the activities cannot be postponed, 5% will be retained in terms of administration and booking fees.
- Climatology Cancellation and change of day policy on behalf of Supplier: The responsible service/guides will monitor the weather conditions using data provided by the INM with the aim of foreseeing extreme weathers that can lead to an annulment of the activity. If the supplier/company of the activity or service decides to cancel the activity, for acceptable reasons such as weather conditions, accident or personal reasons, the full amount paid will be refunded. Furthermore, in this case as a “ change day policy”, another day or activity can be suggested and offered as a second choice, all based on the guides criteria and discussed with ActifStar. In this case all communication will be done by ActifStar.
– With this type cancelation -“change of day policy”- neither the supplier nor ActifStar will be held responsible for any expenses incurred, including accommodation, transportation, meals, or other costs, resulting from your decision to change the date.
- Change activity or date on your own behalf: If you want to change an activity, contact ActifStar to the email that the booking has been done. You can change dates and type of activity maximum 5 days before. Please note that changing the date is distinct from canceling an activity. In addition, the availability of this service is dependent upon the availability of your requested activities and services.
- Small modification after booking an activity
Up to 1 week prior to the activity, small changes can be made to the number of participants (approximately up to 10 people, depending on the case and possibility) by adding or deleting. Talk to ActifStar about availability.
Refunding Policy
Refunds for activities paid and then later cancelled are processed via e-mail communication only for tracking & accounting reasons. We will work on issuing a refund as soon as possible after the booking has been cancelled — usually within 2-3 working days.
We can refund the amount to the card number provided or used for the booking. Due to our Payment Partners processing fees charged on your incoming payment and our outgoing refund, any refunds will occur a 5% handling fee that will be deducted and lacking on the actual refund you will receive. Please note that currency rates may also have changed between the time of your payment received and our refund being processed, affecting the final amount you will receive back. All refunds are processed in Euros.
- For team building and groups bigger than 10 people;
- Cancelation MORE than 3 weeks in advance:
If a complete cancellation of the activity is made more than 3 weeks in advance, 10% will be retained in terms of expenses and booking formalities. Refunds will be made for all services that are refundable due to their policies. No refund will be made for those services that the supplier cannot recover such as: permits and fees for the use of public spaces, % of equipment rental or non-refundable services (buses, restaurants, Ebike, MTB… if it is the case of the policies of these companies).
B. Cancelation LESS than 3 weeks in advance
. If a complete cancellation of the activity is made less than one month in advance, 50% will be retained for costs of blocking human resources and booking management
C. Small modifications after booking for > 20 people
Up to 1 week prior to the activity, small changes can be made to the number of participants (approximately up to 10 people, depending on the case and possibility) by adding or deleting. Participants who have given 1 week’s notice will be refunded. After this date (1 week before the activity) no refunds will be accepted. All additional people will be added as extra to the budget. Refunds for activities paid and then later canceled are processed via e-mail communication only for tracking & accounting reasons. We will work on issuing a refund as soon as possible after the booking has been canceled — usually within 2-3 working days.
